During these 10 years, we have seen that the access to resources and the qualifications amongst the market participants in terms of contract follow-up is quite varied.

The last two years (with Covid-19) has taught us that many tasks do not need constant physical presence in projects and that remote work can save considerable expenses because of less travel time and cost, less need for rig and operating services, etc. In addition, it is our assessment that this type of work is benefited by a certain continuity and protection from the noise present at most construction projects, where the daily challenges necessarily will require your attention and sometimes make structured and goal-oriented work with these kinds of questions difficult.

Establishing an environment in each company for contract follow-up is demanding and those who work with these tasks in the projects often lack the professional environment around them and gets isolated in their project organisations. On top of that, it can be unpleasant and have an inhibitory effect when you, without having a robust professional environment around you, are accused of putting forward claims for which there is no coverage (or being unreasonable in the claims you put forward) and being seen as quarrelsome or destroying the “good” cooperative environment in the project.

By professionalising this function, these conflicts can be redused, as they are performed by an external supplier with both the environment and experience to withstand and professionally handle the difficulties there always will be surrounding demanding pay for services outside of contracts or which deviates from the contract’s price format.

Who is the service aimed at?

Our service is primarily aimed at contractors, both design and build contractors, main contractors, and subcontractors.

Furthermore, our experience and service are well suited for construction clients where the complexity of the contract administration is sizeable. For example, the service is suited for shared contracts managed by client, but ordinary design-bid-build contract can also be challenging in terms of interface. Here, we especially emphasize the need to separate deliveries and interpretation of deliveries to take care of the client’s interests in relation to supplier of design (drawings) or other suppliers on the client side.

 

 

What the service entails:

For design and build/main contractor/subcontractor

Which services you want is up to the individual customer, this will therefore be an adaptation to each individual customer and project. In the following we consider some areas that will be central to consider.

Review of the contract to identify the correct contract strategy, including special risk factors that must be followed up

Preparation of reporting systems for follow-up of deviations from the contract, including follow-up systems for production, design (in total contract client decisions) and progress

Design of alerts and requirements

Preparation of documentation for requirements in collaboration with the project organization (changes additional costs, extension of time, etc.)

Preparation and maintenance of change overviews

Voting on progress related to reporting period (monthly reporting or other)

Voting on productivity according to further discussed intervals (prognosis, reporting, follow-up of requirements, etc.)

 

Against design and build/main contractor/subcontractor

Assessment of agreements, including contract risk

Follow-up of contract fulfilment, including deadlines and daily fines

Follow-up of agreed progress in collaboration with the project organization

Respond to alerts and requirements from TE / HE / UE / Supplier

Creation and maintenance of change logs against UE and coordination of change logs in the project in total based on agreements with the various actors.

 

Work methodology:

In connection with our work, Paradigme will prepare checklists and follow-up systems for registering deviations in relation to the execution of the contract to the extent this is necessary in relation to existing systems.

Existing systems will be reviewed by Paradigme when entering an agreement of assistance.

Paradigme will present a project-adapted work plan for its services related to the individual project.

Paradigme will have access to all systems and information channels used in the project

It will be the client who makes all decisions about how Paradigme’s proposals and assessments are implemented in the project

Paradigme formulates proposals for alerts in the event of deviations from the contract

Paradigme formulates proposals for pricing and documentation of changes

Paradigme assists in discussions with the contractors

 

The cost of service:

The cost of the service is naturally dependent on the size of the project, the degree of assistance required and the challenges that arise in the project.

Paradigme will, together with the customer, prepare a work package which is the basis for calculating a basic price based on ongoing follow-up of the project. Any disputes, reports and analyses related to this will be added.

Our employees will be able, with the support of our interdisciplinary team, to follow up several projects in parallel and thus this service for projects where no special problems arise can be very cost-effective in relation to having dedicated employees in the project. In addition, our employees have ongoing access to an interdisciplinary group that manages our overall knowledge based on all the projects we have assisted.

Paradigme will, based on the size and complexity of the project as well as which parts of the package are desired, provide a monthly rate for follow-up for your projects.
